Em Yoga Retreats Terms & Conditions

These terms and conditions apply to all Em Yoga retreats. By securing your place, you confirm that you have read and agree to the following terms.

1. Booking & Payments

A non-refundable deposit is required to secure your space. The deposit amount is confirmed on the individual retreat information page. Please check this before booking.

The remaining balance is due 8 weeks before the retreat start date and must be paid via bank transfer. It is your responsibility to email em@emyoga.co.uk to confirm payment.

If the final balance is not received by the due date, your place may be forfeited, and your deposit will not be refunded.

Payments are only for the retreat dates you have booked and cannot be transferred to a future retreat.

1.1 Shared Room Bookings (Twin & Triple Rooms)

Twin and triple rooms must be booked by participants who know each other personally. Em Yoga does not pair guests with unknown roommates.  Where two or more participants share a room, deposits are due per person but the booking is made for the room as a whole. All participants in the room are jointly responsible for the full cost of that room. By booking, each participant accepts liability for the total room cost, not solely their individual share.

If one participant in a shared room booking wishes to cancel, the following options apply:

a) all participants in the room must cancel together, and the standard cancellation policy will apply to all; or

b) the remaining participant(s) must find a suitable replacement to take the cancelling person’s place, subject to Em Yoga’s approval; or

c) the remaining participant(s) must pay the full cost of the room, covering the cancelling person’s share in addition to their own; or

d) The remaining participant(s) may upgrade to a single/ twin occupancy room, if available

Em Yoga will always aim to work with participants to find the most suitable solution within the terms of the booking, wherever reasonably possible.

The cancelling participant’s deposit remains non-refundable in all cases. Em Yoga is not responsible for any financial disputes between participants sharing a room.

1.2 Payment Plans

Where a payment plan is agreed with Em Yoga, you agree to complete all scheduled payments in full, even if the final instalment falls after the retreat start date.

By entering a payment plan, you acknowledge that this constitutes a binding financial commitment to pay the entire retreat cost, regardless of attendance or cancellation. Failure to complete payments as agreed will be treated as a breach of this agreement and the outstanding balance will remain legally due and payable to Em Yoga.

2. Cancellations & Refunds

All deposits are non-refundable and non-transferable under any circumstances.

If you cancel 8 or more weeks before the retreat start date, your payments will be refunded, minus the non-refundable deposit.

If you cancel between 8 and 4 weeks before the retreat start date, payments are non-refundable but can be transferred to another participant (excluding the non-refundable deposit). It is your responsibility to arrange this transfer in agreement with Emma Heald/Retreat Organiser.

If you cancel less than 4 weeks before the retreat start date, all payments are non-refundable and non-transferable.

3. Event Cancellation by Em Yoga

In the unlikely event that Em Yoga cancels a retreat due to personal or business circumstances, all payments made will be refunded in full. Travel expenses will not be reimbursed, and it remains the responsibility of each participant to cover their own costs.

In the event of unforeseen circumstances beyond our control (such as extreme weather, natural disasters, pandemics, or venue-related issues), Em Yoga reserves the right to reschedule or cancel the retreat. Refunds will be considered on a case-by-case basis but are not guaranteed. We strongly advise all participants to have suitable travel insurance in place prior to the retreat.

4. Travel Insurance

For international retreats, travel insurance is compulsory. We strongly recommend purchasing insurance at the time of booking, as cover may not be obtainable once a reason for cancellation has arisen. Proof of valid travel insurance may be required before the retreat. Insurance must cover medical emergencies, travel disruptions, cancellations, and any unforeseen circumstances.

For UK retreats, travel insurance is strongly recommended but remains at your discretion. Em Yoga accepts no liability for any costs or losses arising from a participant’s failure to hold adequate travel insurance.

5. Health & Safety

By booking a retreat, you confirm that you are in good health and able to participate in yoga and other retreat activities.

If you have any medical conditions, injuries, or concerns that may affect your participation, you must disclose this at least 7 days before the retreat start date. Em Yoga reserves the right to refuse participation in activities if health concerns arise that may put you or others at risk.

6. Liability

Em Yoga is not responsible for any personal loss, injury, or damage during the retreat. Participants are responsible for their own health, safety, and belongings. We recommend taking necessary precautions to protect your valuables and personal items.

7. Accommodation & Transfers

Accommodation and transfers may or may not be included in the retreat price. Please check the retreat details page for full information. If you require additional services (such as extended stays or private transfers), please contact Em Yoga in advance to arrange these at an additional cost.

8. Consent & Photography

By attending the retreat, you consent to photographs and video recordings being taken, which may be used for promotional purposes. If you do not wish to be included in photos or videos, please inform us before the retreat begins.

9. Participant Conduct & Respect

All participants are expected to respect fellow attendees, the retreat space, and the local community. Disruptive behaviour, harassment, or failure to follow retreat guidelines may result in removal from the retreat without refund.

10. Acknowledgement & Agreement

By booking a retreat, you acknowledge and agree to these terms.
